We collect the information needed to provide the service:
Account information: name, email address, and an authentication credential protected by Better Auth. Passwords are not stored in plaintext.
Business data: business profile information, clients, catalog items, quotes, invoices, payment records, and related notes that you enter.
Subscription data: selected plan, subscription status, billing period, and PayFast references used to activate the plan.
Session and security data: authentication session information and limited request metadata used for abuse prevention and public-document audit events.
We do not intentionally collect precise location data, advertising identifiers, or a user-facing cross-site tracking profile.
When you create a client link, anyone who possesses the link may be able to view the associated document. Quote links may record a view event and may allow the recipient to accept or decline the quote. Invoice links can expose the invoice, payment history, and the payment instructions you chose to publish. Share links are revocable, and quote links can expire with the quote validity date.
Do not put information into a quote or invoice that you do not intend to disclose to the recipient of that document link.
Application data is stored in PostgreSQL infrastructure hosted through Railway. Data is transmitted between your browser and the application over HTTPS in production.
Transactional email is sent through Resend. This includes account verification, password-reset messages, quote delivery, invoice delivery, and payment reminders. Resend processes recipient addresses and message content as required to deliver those messages.
Business Quotes App subscription payments are processed by PayFast. Payment card information is entered on PayFast's checkout pages and is not stored by this application. We receive the billing identifiers and payment status needed to manage your subscription.
The application may also store payment records that you manually enter against your own invoices. Those records are ordinary application data and are not a copy of card details.
The service uses HTTPS in production, authenticated httpOnly session cookies, server-side authorization checks, strict input schemas, transactional database updates, idempotency controls for financial mutations, and hashed public share-link tokens. No security measure guarantees that a service can never be compromised.
We retain account and business records while your account remains active, subject to backup and operational retention requirements. Public share links can be revoked without deleting the underlying business document.
You can view and edit the business information and records available to your account through the application. You can export your account data from Settings.
To request account deletion, correction, or other privacy assistance, contact us using the support channels below. Deletion requests may be subject to legal, payment, dispute, fraud-prevention, backup, and operational retention requirements.
The service is intended for business use and is not directed to children under 13.
